How to Manage AI Receptionists Across Multiple Locations

By Trivant Editorial Team · Published September 28, 2026

Running phones across several locations is harder than running them at one. Hours differ, services differ, managers differ, and a caller should always reach the right location's name. Here's how to set up an AI receptionist that respects those differences while keeping billing and oversight in one place.

Decide what's local and what's central

  • ✓Local: greeting, services offered, service area, hours and holidays, phone number, calendar, and the person who receives escalations.
  • ✓Central: payment method, plan choices, naming conventions, and who has access to which location.

A per-location setup checklist

  1. 1Name the location clearly so callers hear the right business name.
  2. 2Enter that location's real hours, holidays, and after-hours behavior.
  3. 3List the services that location actually performs, since they can differ across sites.
  4. 4Choose how it books: built-in calendar, a booking link, or callback only.
  5. 5Assign the on-call contact who receives urgent transfers and callback tasks.
  6. 6Forward that location's number and place a test call before going live.

Common mistakes

  • ✓Copying one location's setup to another and forgetting to change the hours or service area.
  • ✓Leaving a shared escalation contact who can't actually respond for every location.
  • ✓Assuming calls will overflow between locations. Each location's AI answers only for that location.
  • ✓Skipping the test call at the second and third locations because the first went well.

Roll out in stages

Start with one or two locations, review the calls for a couple of weeks, and refine the approved answers before adding more. Each new location can start its own free trial, so rolling out gradually doesn't require a large upfront commitment.

Measure by location

Compare locations on the calls handled, appointments booked, and how often the AI escalated. A location that escalates far more than the others usually has gaps in its approved information, not a problem with the AI.

What to know up front

On Trivant, each location is its own business with its own plan, so your monthly cost is locations multiplied by plan price. Locations are independent: there's no routing between them, and there's no API yet. For white label, contact us at support@trivant.ai.

Frequently asked questions

Can one account manage all my locations?

Yes. One login can own any number of businesses, each with its own AI agent, phone number, calendar, and team, and you switch between them from your dashboard.

Do locations share AI minutes?

No. Each location has its own plan and its own included minutes, so choose each plan based on that location's call volume.

Can a location manager see only their own location?

Yes. Invite them into that location as an owner or an agent, and they only see that location.
